This policy explains how Rajasthan Billiards & Snooker Association (BSAR) collects, uses, stores, shares and protects information through its website, Android application, registration services, tournaments, payments, certificates and support channels.

Effective date: 06 August 2026 Applies to website and Android app

1. Information we collect

Depending on the service used, BSAR may collect the following categories of information:

  • Identity and profile details: full name, father or guardian name, date of birth, gender, district, category, address, player or club registration number and approval status.
  • Contact details: mobile number, email address and club contact information.
  • Identity verification details: Aadhaar number or another identifier submitted for registration verification. Aadhaar should only be provided where required for the relevant BSAR process.
  • Registration and tournament data: player or club forms, eligibility category, tournament entries, match participation, results, rankings, certificates and related administrative records.
  • Uploaded content: photographs, identity proof, payment proof and documents submitted by the user.
  • Payment records: amount, payment method, transaction number, UTR or bank reference, Razorpay order or payment identifiers, payment status, invoice and reconciliation records. BSAR does not store card PINs, UPI PINs, net-banking passwords or complete card credentials.
  • Account and authentication data: login lookup value, one-time password request records, session token, login time and linked profile references.
  • Technical and security data: IP address, device or browser user agent, request logs, error references and security events.
  • Communications: enquiries, support messages, replies and account deletion requests.

2. How we use information

  • To create, verify, approve, renew and manage player or club registrations.
  • To check eligibility and category matching for tournament registration.
  • To process payments, confirm UTR or gateway transactions, prevent duplicate payments and issue invoices or receipts.
  • To publish or provide tournament schedules, results, rankings and certificates.
  • To send OTPs, transactional emails, payment updates and service communications.
  • To provide account access, support, fraud prevention, security monitoring and error investigation.
  • To comply with accounting, legal, sports-governance and dispute-resolution obligations.

3. Payment processing and Razorpay

Online payments may be processed by Razorpay. Payment credentials are entered in Razorpay's payment interface and are processed under Razorpay's own privacy and security practices. BSAR receives transaction identifiers, amount, payment status and other information required to verify the payment and generate an invoice. Bank transfer and UPI submissions may include UTR details and payment proof uploaded by the user.

4. How information is shared

BSAR does not sell personal information. Information may be shared only as required with:

  • Payment processors such as Razorpay and banking or UPI service providers.
  • Hosting, email delivery, security and technical service providers acting for BSAR.
  • Authorized BSAR administrators, tournament officials and association personnel who need the information for their duties.
  • Government, regulatory, law-enforcement or judicial authorities where disclosure is legally required.

5. Public information

Approved tournament participation, results, rankings, certificates, office-bearer details and other association information may be displayed publicly where this is part of the relevant sports or association service. Sensitive identifiers such as Aadhaar numbers are not intended for public display.

6. Data retention

BSAR keeps information only for as long as reasonably required for the purposes described above. Registration, tournament, payment, invoice, accounting, fraud-prevention, dispute and certificate records may be retained for legal, financial or sports-integrity reasons even after an account deletion request. Where full deletion is not appropriate, profile data may be anonymized or access-restricted.

7. Account deletion and user choices

Users can request deletion from the Android app through My Account → Request Account Deletion or by using the public deletion page below. Ownership is verified through the logged-in session or an OTP sent to the registered email.

Account deletion page: /account-deletion.php

A user may also request correction of inaccurate profile details or ask questions about retained information by contacting BSAR. Deletion requests are reviewed before completion to protect accounts from unauthorized requests and to preserve records that BSAR is required to retain.

8. Children and junior players

BSAR services may include junior players. Where a minor's information is submitted, the parent or lawful guardian should provide or authorize the information and supervise use of the account. BSAR does not knowingly use junior-player information for advertising profiling.

9. Security

BSAR uses reasonable administrative and technical safeguards, including OTP verification, restricted admin access, session tokens, payment verification controls and security logging. No online system is completely risk-free, so users should protect access to their registered email and promptly report suspected misuse.

10. Cookies and technical logs

The website and app may use session storage, cookies or equivalent local storage for login, preferences, security and normal operation. Server logs may record IP address, device or browser details, timestamps and error information.

11. Policy updates

BSAR may update this policy when services, legal requirements or data practices change. The revised effective date will be shown on this page.
